Workshops, Paperwork & Milestone


Adding 399 - independent study research project credit
  1. Please remember to register for your 399 credit during the 1st week of the quarter
  2. Jared Tuberty has reminded students during Kickoff that there is no excuse to miss the deadline.

Milestones

If a team is not present at a milestone, they will be penalized $100 and they must send an email to the DC executive board by midnight one week before the milestone date with an explanation of why they did not attend. If no letter is sent the team will be disqualified.

A signup sheet for milestone slots will be posted up on the DC bulletin board on the 2nd floor of the McCormick building.

Each slot is 15 minutes.
1st milestone - Must show first design and have a safety review

2nd milestone - Final design and safety proposals must be approved on or before this date.

3rd milestone - Competition day








Workshop

For this year, all of our DC workshops are being conducted as part of a new half-credit course, IDEA 297-0, Section #04. Competitors can either attend this class for the half-credit (counting toward the Tech Design Certificate) or can audit the class without receiving credit.

The latter option is equivalent to what we've done the past few years with these tutorials. Those who sign up for IDEA 297-0 will be required to do a modest amount of work to receive the credit -- namely, a paper design of their robot.

Time: 3.30pm - 4.50pm


Machine Shop Training
There will be Machine Shop tutorial conducted by Richard Dojutrek on the following days next week. As there is only 6 slots per session, it will be a first come first serve basis. Depending on the response, I will organize more the following weeks. It is highly recommended that each team send at least one member. The tutorial is free.

Usage charges: Fully trained machine shop user (Only M.E. students who have access to all the equipment) are charged $300 per team. Students who wants to use the labs (smaller and less dangerous equipment)are only charged $160 per team. The flat rate is because we have no way to know how much a team used in supplies and material so it is to a team's best interest to either use the shop a lot or not at all.

Use of Mechatronics lab

Prof Kevin Lynch will be signing out keys and informing participants of the usage rules. The briefing is scheduled for the following time. Each team please send at least a member to the meeting

Reimbursement and Compensation

When you purchase items make sure to get an original, itemized receipt that includes the method of payment, total cost, etc. You will turn these in during the milestones and I will contact you/your team later about getting the reimbursement (or give them to you at the next milestone/day of competition).

There is some paperwork that I'll have each team fill out at the first milestone. Also, NU does not reimburse for tax. Therefore you need to obtain a tax exempt form from Charlotte Keh (Finance) before you make any purchases.

In regards to student-to-student transactions, what the students need to do is: -
  1. just type-up/write up a receipt. On the receipt, it should state who the seller and buyer is, the date, the item(s) being sold, the cost of each, and the total.
  2. The buyer and seller should both sign the form.

Then, just turn in that form to Charlotte Keh (Finance and she'll take care of the rest.

Let her know if there are any more questions in regards to reimbursement.
